Galvanize USA is seeking an Operations Associate to serve integral functions across the entire organization. The bulk of the Operations Associate’s time will be spent in NGPVAN and working with EveryAction toolsets: you will support staff at all levels to contribute to, maintain, and leverage data related to development, external relationships, partnerships, and campaigns. Some of your first projects might include updating current database protocols, leading a campaign to confirm contact information with key stakeholders, and creating & updating existing forms and email templates. The Operations Associate will also support the Chief Operating Officer with finances, contract development, and information technology. This is a great opportunity to apply past data experiences while learning about other critical operations functions within an organization.

Responsibilities and Tasks

  • Oversee NGPVAN database and EveryAction tools (70%)
    • Serve as the primary EveryAction database administrator: create new user accounts, maintain and apply activist codes, manage bulk uploads, and more
    • Develop, implement, enforce, and document organization-wide processes to ensure efficient and comprehensive data management and reporting
    • Execute necessary functions in NGPVAN Online Actions, including creation and maintenance of contribution and event sign-up forms
    • Execute necessary functions in NGPVAN Targeted Email, including creation and dissemination of emails and reporting on metrics
    • Serve as a liaison with The Movement Cooperative and other data infrastructure vendors and services
    • Support & train staff and volunteers on NGPVAN, EveryAction, and other digital and data tools
    • Create and run reports for all departments, including Development, Community Programs, Partnerships, and Communications
    • Function as help desk for team members across the organization to answer and troubleshoot data questions as well as carrying out routine data requests
    • Schedule and implement regular data hygiene processes
  • Support day-to-day organizational operations needs (25%)
    • Review and submit invoices for payment
    • Complete credit card reconciliations
    • Assemble paperwork to process contracts for new vendors
    • Support with onboarding of new staff members
    • Drive organization-wide adoption of IT security best practices
    • Maintain organization of Shared Google Drive folder
  • Miscellaneous responsibilities (5%)
    • All employees of Hopewell Fund are required to complete timesheets
    • Perform other duties as needed

Required Qualifications

  • A minimum of 1-2 years of experience working with NGPVAN databases
  • Proficiency with Google Suite, MS Office, Slack, and Asana, or the ability to independently and quickly learn.

Highly Valued Qualifications
The following qualifications are not required, but will be highly valuable in this role:

  • Knowledge of 501(c)(3), 501(c)(4), and political organizations.
  • Direct experience with NGPVAN development tools
  • Direct experience with Microsoft Sharepoint
  • Exposure to and understanding of large relational datasets, data warehouses, and visualization tools such as Google Data Studio, BigQuery, Periscope, Civis, or similar
  • Basic proficiency in any of the following languages: SQL, Javascript, Python, R

Compensation & Benefits

The starting salary range for this position is $55,000 - $65,000, depending on experience.
